How to Create a Reservation

HOW TO CREATE A RESERVATION

In this video you will learn how to create a reservation. Reservations should be requested at least 6 business days prior to the event date.

To create a reservation click on create a reservation on the left side of the screen. 

Select the form that is right for your event.   If you’re not sure of what form to use simply select the about icon by each form, here you will see a description of the form. Please read this carefully it is important that you use the correct form.  Begin your request by clicking the book now icon. 

Pick the date you want.  Enter the start and end time of your event.

 Select the location you would like to request by using the add/remove option.

After you have selected your location you will select the update locations icon. 

Select the set up type you would like by using the add/remove option.  The setup type is how you want the room setup. 

After you have selected your set up type you will select the update setup types icon.

Enter the “Number of People” and click the search icon, the rooms that are compatible will appear in the pane on the right.  Only rooms that will allow the set up you selected and the number of people entered will show.  You can also see the rooms that are already reserved by the boxes. 

Click on the blue plus sign to select the room you want to use. 

After you have selected the blue plus sign the attendance & setup screen will appear (make sure the number of attendees and setup type are what you want, then click the add room icon.

A screen may appear with additional information about the room.  Read the information thoroughly and click the ok button when finished. 

You will then see the room you selected at the top of the screen. 

If the room you have selected is not what you want click the blue minus sign and choose another room. 

Click the “next step” icon at the upper right of the screen.  The next screen will show the services that may be requested for your event.

Click on the services you want for your event.  A pop up window will open. 

Enter the quantity needed for the item.  If you have additional information please add that to the special instructions field then click ok. 

Some items require a “service type” and times.  Please select the times that you want the item to be delivered for your event.

If you are selecting a service you will need to add your account code at the bottom.

The item(s) you have chosen will then appear at the top right of the screen.  Click next step at the top right.

Enter the details of your event. All the questions must be answered or you will not be allowed to select the create reservation icon in green at the bottom of the page.

After you have created your reservation a pop up window will open.  Please read the information carefully and click OK.   You can click on “My Events” on the left side of the page to view your request and make any changes that are needed.

If your event will be held over multiple dates or in multiple rooms AND you are requesting services, please use the Multi Room/Date Request Form and add your services after submitting your room request.
